We are delighted to welcome you to our annual Inspire 2025 by Beacon conference in London. As the event approaches, we want to provide you with essential details to ensure a seamless and productive experience.

Speakers: Please arrive at the venue by 10 am for a quick run of show and sound check.

Sponsors: Please arrive at the venue by 10 am to start your booth set up.

Attire

Business attire or smart business casual is appropriate for our Inspire conference activities.

Weather

London in early April typically experiences mild spring weather. Average daytime temperatures range from 11°C to 14°C (52°F to 57°F), with evening temperatures dropping to around 5°C to 7°C (41°F to 45°F). There’s a chance of light rain, so we recommend bringing a rain jacket.

Travel & Lodging  

If you haven’t already done so, please book your flights and accommodations as soon as possible. Recommended hotels can be found here. Please submit your flight and accommodation receipts to Laura Reyes at laura.reyes@beacon.io for reimbursement. 

Chatham House Rules

As a reminder, Inspire 2025 is operating under Chatham House Rules. While we encourage social media engagement, please refrain from posting the identities of speakers and sponsors on social media—this is strictly prohibited unless it pertains to yourself. Participants are free to use the information received, but neither the identity nor the affiliation of the speakers or sponsors may be revealed without explicit permission.

WHEN YOU ARRIVE

We’re located on the second floor.

  • There are two entryways into the building. Upon arrival, you’ll find yourself in a large, open foyer with a security desk and turnstiles.
  • Beacon staff and building staff will be present to greet you and direct you to the second floor.
  • Attendee registration and our networking lunch will start at 11:30 — an excellent opportunity to connect with fellow speakers, sponsors, and attendees before we kick-off our keynote session promptly at 13:00.

FOR SPEAKERS

Mic’ing Up 

  • Designated seating for speakers will be located in the far-right, front-facing row of the main plenary room. 
  • Each speaker will be equipped with lapel microphones—handled by the Encore A/V team. A tech booth will be visible at the back of the room, where Encore staff will test and prep mics before each session.
  • Please plan to go to the tech booth 10 minutes before your session to ensure enough time for setup. Note, active sessions will be occurring, so if you are not seated in the front row, please make your way to the tech booth. 

FOR SPONSORS

Booth Setup Details

  • Set-Up Time: Please arrive promptly at 10:00 to set up your table. Set-up must be concluded by/before 11:00.
  • Breakdown Time: Start breakdown at 19:00. This allows time to bring attendees back to your booths for socializing. 
  • Shipping: Courier services are the preferred method for local shipping. More details on return shipping will follow. The venue allows items to be kept on-site for up to 24 hours after the event—please arrange pickup accordingly.

Booth Setup Includes

  • 6 ft table located in the “Exhibitor Hall” (floor plan with Sponsor placement to follow).
  • 2 chairs (If more is needed, please inform us in advance).
  • Direct electrical access for laptops or devices included at no additional cost.
  • One large 60″ LED Monitor Screen & Stand included at no additional cost.
    • Connect via HDMI for videos/static images (bring your own adapters if needed)
    • USB thumb drives are not recommended
    • If you don’t want a monitor at your booth, contact Christopher Ceparano (christopher.ceparano@beacon.io) immediately
  • Booth branding recommendations:
    • 1-2 pop-up banners permitted and or backdrop
    • Branded tablecloth
    • Printed collateral and swag handouts (beverages/food prohibited, except small savories)
  • Recommended booth coverage: Be present during networking lunch, break, and reception, where most engagement happens.
